The daily sales email: what it includes and why its tone changes

The heart of Back to Zero isn't a screen: it's an email that arrives every morning for the whole team. Nobody has to log in anywhere to know how things are going. Here's how it works and how to set it up.
What the email includes
- The odometer: the company's days without a sale, big.
- The month's goal: monthly recurring revenue with its recurring and one-time parts, percentage reached, what's left and what recurring revenue is worth over 12 months.
- The per-person scoreboard: each rep with their days without a sale, their status (from 🔥 On fire to 🦖 Extinct) and their progress against their own goal. Whoever sold most recently is at the top.
- Celebrations: sales logged since the previous email, with 🆕 for a new client. On Monday it also celebrates the weekend's sales and any logged late.
- A message, a meme and a tip that change depending on how many days the company has gone without a sale.
Why its tone changes
With few days without a sale, the email celebrates. As days go by the tone rises: Warning at 20, Emergency at 30 and Decision review at 45 (thresholds can be adjusted in settings). It isn't meant to scold, but to make the team feel the urgency in time, while there's still a chance to close something this month.
Who gets it
| Role | How they receive it |
|---|---|
| Sales rep | Recipient (To) |
| Admin, Back office and Stakeholders | Copied (CC) |
If someone replies, the reply goes to the company's admins, and with "Reply all" the conversation includes the team. In companies with groups (Team+ plan), each group gets its own email and admins get a company summary.
The afternoon reminder
So tomorrow's email is complete, Back to Zero sends an afternoon reminder (5:00 p.m. by default) to the back office to log the day's sales. If nothing is logged, that day counts as a day without a sale. Forgotten sales can be logged later with their real date.
How to set it up
- Days and time: choose which days it goes out (for example, Monday to Friday) and when (8:30 a.m. by default).
- Test mode: at first, emails only reach admins, with "[TEST]" in the subject. Once the team is set up and you like the tone, turn it off.
- Language: the email goes out in the company's language, Spanish or English.
Why an email and not an app
Because everyone opens their email. Tools you have to visit get forgotten; a scoreboard that arrives on its own, at the same time, every day, builds the habit. To reinforce it, combine it with one of the ways to motivate your sales team.
